Cancellation & Refund Policy
This policy explains how cancellations, refunds and project-related payment adjustments may be handled for digital, technical, design and marketing services provided by Webtrix Innovations.
1. About This Policy & Business Model
Webtrix Innovations is a digital technology and agency solutions provider. Our services include Web Design, Web Development, E-Commerce Development, Mobile Application Development, UI/UX Design, SEO Optimization, Digital Marketing, Branding Solutions, Website Maintenance, Landing Page Design, Local SEO, and Social Media Marketing.
Because our work involves bespoke, service-based deliverables, intellectual property creation, customized software engineering, and allocated professional time rather than pre-manufactured physical retail items, standard return-and-refund processes for physical goods do not apply. This policy establishes the principles governing cancellation requests, financial adjustments, and refund reviews across our service offerings.
2. General Refund Principles
Refund eligibility depends on the specific nature of the service, work already completed, resources already committed, third-party non-refundable expenses incurred, and the commercial terms agreed upon in the project quotation, proposal, invoice, or written agreement.
A payment is not automatically refundable or entirely non-refundable in every situation. Each request is evaluated objectively against verified project milestones, approved scope, and the actual allocation of engineering and creative resources.
3. Cancellations Before Work Commences
If a client requests cancellation before substantial project work, technical architecture, or creative design has begun, Webtrix Innovations will review the request based on:
- Current project status and milestone progression.
- Administrative, planning, discovery, or initial consultation time already performed.
- Committed technical resources or software configurations.
- Direct third-party purchases (such as domains, licenses, or server setups) already completed on the client's behalf.
Any eligible refund amount will be determined fairly based on the actual circumstances, less non-recoverable administrative or third-party costs, in accordance with the project's commercial agreement.
4. Cancellations After Work Has Commenced
Once active project work has commenced, refund eligibility is proportionally reduced to account for the professional time, talent, and technical resources expended. This includes, but is not limited to:
- Discovery sessions, information architecture, and technical roadmap planning.
- Wireframing, prototyping, UI/UX system design, and custom component tokens.
- Backend architecture, database modeling, API development, and software engineering.
- Third-party integrations, CMS setup, and environment configuration.
- Campaign strategy preparation, audience research, and project management time.
Where work is discontinued mid-project, completed deliverables up to the effective cancellation date may be delivered to the client upon final settlement of accrued hours and committed expenses.
5. Completed & Delivered Services
Services that have been fully completed, deployed, handed over, or formally approved by the client cannot be treated like unused merchandise and are generally not eligible for refund.
Any questions or concerns regarding completed deliverables should be raised in accordance with the agreed revision parameters, testing phase, and scope commitments defined in the project agreement.
6. SEO, Marketing & Performance Services
Digital marketing, search engine optimization (SEO), local search, and social media marketing depend on third-party platform algorithms (such as Google, Meta, and others), market competition, user search intent, and external variables outside direct agency control.
Consistent with our Terms & Conditions, Webtrix Innovations does not guarantee specific search rankings, lead quantities, traffic volumes, or advertising return multipliers. When agreed research, strategic setup, technical optimization, content creation, or ad management tasks have been properly performed, the absence of a particular commercial result does not constitute non-delivery and does not qualify for refund.
7. Third-Party Costs & Non-Refundable Expenses
Digital projects frequently require external platforms, software, and services provided by independent third parties. These expenses are subject to the policies of the respective providers and are strictly non-refundable through Webtrix Innovations. Examples include:
- Domain name registrations, transfers, and annual renewal fees.
- Web hosting, server instances, cloud storage, and database hosting infrastructure.
- Commercial themes, UI kits, premium plugins, extensions, and framework licenses.
- Third-party API subscriptions, transactional messaging credits, and webhook utilities.
- Paid advertising spend allocated directly to search engines or social media ad platforms.
- Payment gateway transaction charges, gateway setup fees, and app-store developer account charges.
Webtrix Innovations cannot recover or refund fees collected by independent third-party vendors.
8. Client-Requested Cancellation Process
To request a cancellation or payment review, clients should submit a formal written communication through our official contact channels with the following information:
- Project title, quotation number, or invoice reference.
- Registered client/business name and primary contact details.
- Clear explanation of the reason for the cancellation request.
- Current status of project materials and any relevant context.
9. Webtrix-Initiated Suspension or Termination
Webtrix Innovations reserves the right to suspend or terminate a project engagement under justifiable circumstances, including but not limited to:
- Requests for unlawful, infringing, fraudulent, or abusive content and functionality.
- Abusive, harassing, or threatening behavior toward agency team members.
- Material breach of project terms or non-payment according to agreed milestone schedules.
- Persistent failure to provide essential project information, assets, or access required for delivery.
- Unforeseeable technical or operational circumstances making continued delivery impracticable.
In such events, any financial settlement or release of deliverables will be calculated fairly based on work completed, verified expenses, and applicable contractual commitments.
10. Change of Mind Policy
Because engineering schedules, human resources, and design hours are specifically reserved for confirmed projects, a simple change of mind after significant project initiation or completion does not automatically create entitlement to a full or partial refund.
We encourage clients to review proposals, technical scope, and project roadmaps carefully during the initial discovery phase before confirming engagement.
11. Duplicate or Incorrect Transactions
In the event of a genuine duplicate charge, accidental overpayment, or technical billing discrepancy, the client should notify Webtrix Innovations immediately with relevant transaction receipts or bank references.
Upon verification through our payment processing records, validated surplus amounts will be refunded to the originating payment account.
12. Payment Gateway & Bank Processing
Where a refund is approved by Webtrix Innovations, the transaction is initiated through the original payment gateway, bank transfer, or payment provider used for the transaction.
The timeframe for funds to reflect in the client's account depends on the policies, processing cycles, and operating procedures of the respective banks, card issuers, and payment aggregators. Webtrix Innovations does not control external banking clearance speeds.
13. Dispute Resolution & Direct Communication
We value long-term client partnerships and encourage open communication. In the event of any billing concern, scope misunderstanding, or service discrepancy, clients are requested to contact Webtrix Innovations directly so that the issue can be reviewed collaboratively and resolved in good faith.
14. Statutory Rights & Applicable Law
Nothing contained in this Cancellation & Refund Policy is intended to exclude, restrict, or modify any statutory consumer rights or guarantees that cannot lawfully be excluded under applicable governing law.
